The Studio

BREAKFAST is a world-renowned art studio with a reputation for conceiving and producing some of the most high-tech, connected artworks in the world. BREAKFAST’s work has found its way into various museums, lobbies, stadiums, and public spaces. 

All of this has been achieved by a group of 8 full-time employees. We believe strongly in hiring extremely talented people who work together to do great things in the most efficient manner. While we plan to expand incrementally, we aim to keep our table small and only invite the very best to join.

The Position

BREAKFAST specializes in crafting some of the most complex and unique artworks in the world. As such, we seek someone to help hold down the fort and keep our studio's engine running smoothly while the chaos ensues all around. 

The Office Manager will be responsible for keeping the studio a place that is as enjoyable as possible for our unique crew of artists and engineers. Our studio should be one of the biggest drivers of our culture, and as such requires someone who has great empathy for all that work in its space. Beyond the studio itself, you would play a key role in owning many business aspects, including running payroll, handling bills/packages/mail, reconciling QuickBooks, and other similar tasks.

The Office Manager will report directly to the Co-Founders.

Responsibilities

  • Manages payroll
  • Owns invoicing and billing processes
  • Handles insurance policies and COIs
  • Main liaison with Human Resources company
  • Onboards, trains, and orients new staff members
  • Develops initiatives related to company culture and employee wellness
  • Handles travel, itineraries, and bookings
  • Accepts and responds to organizational phone calls, emails, and traditional mail correspondence
  • Collaborates across departments to help plan events and initiatives
  • Keeps shared office spaces organized
  • Handles incoming and outgoing packages and mail
  • Handles office communications
  • Handles inventory and ordering of office supplies, kitchen items, and other incidentals necessary for office operations
  • Implements critical safety procedures, including establishing evacuation plans, running drills, and setting up building security
  • Interfaces with clients, vendors, building management, and employees on a regular basis
  • Maintains office equipment and troubleshoots when necessary
  • Assists in major office projects, such as renovations, installations, and office design initiatives
  • Manages office budget
  • Fields main office calls
  • Coordinates schedules for office conference rooms
  • Guides office layout improvements

Experience and Skills

  • 3+ years experience in a similar role
  • An insatiable desire to understand, use, and even create technology and art.
  • A creative and entrepreneurial mindset — always looking for ways to improve themselves and the studio.
  • Hyper-organized
  • Strong spreadsheet skills
  • Strong Quickbooks skills
  • Manages time and processes with an eye for efficiency and strategic changes
  • Solves both logistical and human problems
  • Simultaneously manages priorities
  • Takes initiative in solving problems and improving processes
